
As of 1/04/2025, a new e-Delivery requirement will come into effect in Poland. According to the regulations, all companies in Poland will be required to receive official correspondence electronically through the e-Delivery system – Polish: “e-Doręczenia”. This means that all official communications from Polish authorities will be delivered exclusively in electronic form.
What is e-Delivery?
e-Delivery is a registered electronic delivery service that enables the sending and receiving of electronic correspondence with the same legal effect as a registered letter with official confirmation of receipt.
By setting up an e-Delivery address for Polish company, you designate this address as the official correspondence address. Once your e-Delivery address is registered in the electronic address database, government authorities using e-Delivery will send all official correspondence to your company exclusively via this electronic system.
The company’s e-Delivery address remains constant even if its physical address changes.
Who must have an e-Delivery address?
An e-Delivery mailbox is mandatory for:
Entrepreneurs registered in CEIDG
Companies registered in the National Court Register (KRS)
In addition to commercial law companies, other entities registered in the KRS, such as cooperatives and foundations, must also have an e-Delivery address.
The obligation to use the e-Delivery system applies to all eligible entities starting from 1/04/2025. Companies and organizations must ensure they have completed the registration and activation process before this date to comply with the legal requirements. Failure to comply may result in administrative consequences, including difficulties in receiving official correspondence from government authorities.
Why set up an e-Delivery address?
Although there are no legal sanctions for failing to set up an e-Delivery mailbox, companies that do not comply will miss out on significant benefits:
E-Delivery enables faster, more flexible, and cost-effective communication with public entities, eliminating the need to visit the post office or handle physical mail;
Companies using e-Delivery can receive and respond to official correspondence at any time and from any location;
Failure to set up an e-Delivery address may result in delays in handling administrative matters, as public institutions will attempt delivery via traditional mail.
How to set up an e-Delivery address for a Polish Company?
Creating an e-Delivery address is a three-step process. To complete the setup, a Polish Trusted Profile or a qualified electronic signature is required.
Steps to Set Up an E-Delivery Address:

Activate the e-Delivery address through your profile at https://www.biznes.gov.pl/en

Use your Trusted Profile to confirm your identity and create an account on biznes.gov.pl:
Follow the on-screen instructions.
Submitting an application for an e-Delivery address
Once you have created a profile on biznes.gov.pl, you must submit an application to create an e-Delivery address for your Polish company:
Go to: https://www.biznes.gov.pl/en/e-uslugi/00_0709_00 and click the blue “START” button:
Log in using your Trusted Profile, then click “Create new profile” and “NEXT.”
Continue clicking “NEXT,” select the first option, and proceed.
On the next page, select “Krajowy Rejestr Sądowy” and click “NEXT.”
Select “Tak” on the next page and click “NEXT.”
Enter your company’s KRS number and click “NEXT.”
Confirm your company’s details, select “Yes,” and click “NEXT.”
On the next page, select also “Tak” and press “NEXT” button:
Click “Add Administrator”:
Enter your name, surname, PESEL number, and contact email (notifications will be sent to this email). Click “SAVE” and “NEXT.”
Accept the e-Delivery service terms on next two pages, then proceed to the signature page and select “Trusted Signature.”
Log in to your Trusted Profile and sign the application. Finally, click “SEND.”
Activating the E-Delivery Address
After submitting the application, it will be reviewed by the authority. This process may take a few days. You will receive an email notification once your application is approved. To activate your e-Delivery mailbox, follow these steps:
Visit: https://konto.biznes.gov.pl/pl/moje-konto/e-doreczenia/ and log in with your Trusted Profile.
Your company requiring activation should appear on the screen.
Click the “Wymaga aktywacji” button next to the orange circle. Enter your e-Delivery address and click “ACTIVATE ADDRESS.”You will receive an email confirming activation.
